School office & families / School Base Cloud
From the first enquiry to the next school year.
The school office connects pupil records, family contacts and decisions. Teaching and the family portal use the information released for each role.
How the steps connect
School office & families
- Pupil records, admissions and year transitions
- Notices and private communication
- Reports, school fees and the family portal
Review admissions
Responsible staff check evidence and contact permissions. Your school makes the decision; only an accepted admission leads to enrolment.
Support the school day
Classes, course enrolments, absences and reports remain connected. Families see their children, pending responses and documents released to them.
Close the school year
Record a transition decision for each pupil and preview planned assignments. The transition runs after the previous year ends, preserving earlier classes and history.
Who works with it?
School office, class teachers, leadership and fees staff have separate responsibilities. Family permissions are assigned per relationship and action: information, absence excuses, collection, reports and invoices are distinct.
For your implementation
Fee schedules, invoices and payment statuses support the school fees workflow. We validate the actual payment and banking process with your school before use. A demo invoice is not evidence of a completed payment.
What we agree together
- School type, grading system and report templates
- Existing pupil and family data with contact permissions
- Fees, payment methods and representative year transitions
Common questions
Can schools without tuition fees use it?
Yes. The agreed scope follows your school’s needs. Fee workflows are relevant only where your school requires them.
Can every family contact see everything about a child?
No. Visibility and actions follow the recorded permissions. Information access alone does not allow a contact to excuse absences or view invoices.
